Cancellation & Refund Policy
1. Nature of Our Services
We provide digital and professional services, including website design, web maintenance, and web app development. Because time, planning, consultation, design, and development resources are allocated once work begins, refunds are handled differently from physical products.
2. Deposit Policy
Unless otherwise stated in writing:
- Deposits are required to secure project commencement and resource allocation
- Deposits are generally non-refundable once work has started
- If a client cancels before any work has begun, we may, at our discretion, refund part of the deposit after deducting any administrative, consultation, planning, or payment processing costs already incurred.
3. Cancellation by Client
If the client cancels a project after confirmation:
- Work completed up to the cancellation date will be chargeable
- Any deposit paid may be forfeited in whole or in part
- If project progress exceeds the value of the deposit, the client remains liable to pay for all work completed and expenses incurred up to the cancellation date.
4. Change of Mind
As our services are customized and time-based, we generally do not offer full refunds for change-of-mind cancellations after work has started.
5. Delayed or Abandoned Projects
If a project is delayed due to prolonged non-response, missing content, or lack of approval from the client for more than 30 days unless otherwise agreed:
- we may place the project on hold,
- rescheduling may be subject to additional fees, and
- any payments already made may become non-refundable to the extent work, planning, and allocation have already occurred.
If there is no meaningful response for more than 60 days, we may treat the project as abandoned.
6. Monthly Maintenance Plans
For web maintenance or recurring support plans:
- cancellation must be given in writing at least 14 days before the next billing cycle, unless otherwise stated in your service agreement
- fees already paid for the current billing period are generally non-refundable
- no partial-month refund will usually be provided unless we agree otherwise in writing.
7. Third-Party Costs
Fees already paid or committed to third parties are non-refundable, including but not limited to:
- domain registration
- hosting
- paid plugins or themes
- software subscriptions
- API usage fees
- third-party licenses
- payment gateway charges.
8. Refund Exceptions
If we are unable to deliver the agreed service due solely to our own fault, and no meaningful work has been delivered, we may offer an appropriate partial or full refund at our discretion, depending on the circumstances.
9. Refund Processing
Approved refunds, if any, will generally be processed using the original payment method within a reasonable period, subject to bank, gateway, or platform processing times.
10. Disputes
If you believe a charge was made in error, please contact us first at [insert email / phone] so we can review the matter fairly and in good faith.
Malaysia provides consumer redress channels, including the Tribunal for Consumer Claims, for matters within its jurisdiction.
